MISSION VESTRY MEETING MINUTES
13 May 2008

The May Vestry meeting for Our Savior at Honey Creek was held on May 13, 2008 at the Prudential Realty Conference Room on Dover Bluff Road.

Present: Rev. Frank Logue, Mrs. Barbara Mathis, Ms. Stacy Rawl, Mrs. Julie Lunt.
Absent: Mr. Lee Watkins, Mr. Al Trogdon, Junior Warden

The meeting began at 6:15 with a prayer led by Rev. Logue.

Minutes of the April Vestry meeting were approved for distribution on the church web site.

Treasurer’s Report

The treasurer’s report is incomplete at this time as Ms. Rawl and Mr. Trogdon do not have current copies of the bank statements and are arranging to obtain that information.

  • Income from March 30 through April 30 was $1504.

  • Expenditures from March 30 through April 30 were $200.

  • The operating account balance as of April 30 is $1304.

  • Total assets as of April 30th including CD’s and Money Market plus operating account is $19,291.37.

It was approved to issue payment to Rev. Ray Worthington in the amount of $150.00 for his services on May 11, 2008. Priests will cost approximately $150 each Sunday.

It was approved to have the treasurer obtain a Debit Card for the church’s operating account for use with ongoing expenses.

Senior Warden’s Report

  • A Vestry Notebook of information and records was provided for all members. Church canons, job descriptions, service ministry lists, and membership forms were included in the notebook. All members are asked to review the information about the Vestry as a calling to a special ministry and prepare to discuss the information at the next meeting.

  • Thanks to Rev. Logue, supply priests are arranged for the upcoming Sunday worship services through June and July.

  • Thank you notes have been sent to the supply priests who have helped at Our Savior of Honey Creek – Canon Phelps, Rev. Somerville, and Rev. Lacy.

  • Membership numbers for the church are stagnant with only 9 official members in the Church Register. Attendance at Sunday Services is also stagnant with an average of 20 in attendance during April and May. Efforts must be increased to bring in more people to Sunday Worship Services. The midweek Evening Prayer Service begun in April is averaging only 4.5 per service and an increased effort for attendance is also necessary to continue that service.

  • A full time musician will be needed beginning in June when Harry Jenkins moves. Everyone was urged to contact piano teachers, members, and nearby schools to seek a monthly pianist at the rate of $100 per month.

  • Church listings are now published in the Camden County and Glynn County newspapers. Forward Day by Day is again being donated by a church member and will be available in the publication rack on Sundays.

Junior Warden’s Report

  • Arrangements are continuing for the use of the Honey Creek Chapel for Sunday Services at 10:00 without fees at this time to the Honey Creek Commission.

  • All concerns related to the church’s use of the property, to the chapel itself should be directed to Al Trogdon who will handle communications between the Vestry and the Diocese and Commission.

Old Business

  1. Information for a member Directory is being collected by Julie Lunt who will prepare some flyers for distribution in the publications rack on Sundays.

  2. Mrs. Lunt again raised concerns about conditions at Honey Creek Episcopal Conference Center and at the chapel. Discussion focused on the need to separate general improvement suggestions and repair needs made as an individual from any official reports or requests on behalf of the Vestry and Our Savior at Honey Creek Church. Emphasis was placed on the need to remember that our use of the chapel is free at this time, but that rent might well accompany requests for changes and improvements. All vestry members were reminded to submit concerns and repair needs to the Junior Warden and not to the Honey Creek staff, commission, or Diocese officials.

New Business

  1. Road signs leading to the church are out of date with telephone number. Ms. Rawl will handle the removal of the number or the covering up of that number.

  2. Zip code mailing lists and newcomer postcards were suggested for use to increase awareness of the church’s location, services, and existence. Mrs. Mathis will obtain pricing for labels and cards.

  3. Since both membership and attendance are imperative, Mrs. Lunt will review Diocese website tools and prepare a membership growth plan for the June Vestry meeting. All members are urged to consider ways to increase attendance and membership.

  4. Minutes will be posted on the church web site monthly, and a newsletter-style report to the congregation will be printed and distributed at Sunday services.

All members were asked to review the six steps for Vestry planning that are in the front of the Vestry Notebooks as preparation for the June meeting which will be held on the second Tuesday of June.

The meeting was concluded with a prayer led by Rev. Logue.
