VESTRY MEETING MINUTES
10 JUNE 2008 

The May Vestry meeting for Our Savior at Honey Creek was held on JUNE 10, 2008 at the Prudential Realty Conference Room on Dover Bluff Road.

Present:  Rev. Frank Logue, Mrs. Barbara Mathis, Ms. Stacy Rawl, Mr. Al Trogdon, Mr. Lee Watkins

Absent: Mrs. Julie Lunt

The meeting began at 2:00 P.M. with a prayer led by Rev. Logue.

Minutes of the May Vestry meeting had been approved for distribution on the church web site. Once approved via e-mail, the June minutes will also be distributed on the web site.

Treasurer’s Report – Stacy Rawl

Total Income for May = $2287.00 from Individual Contributions

Expenses for May = $ 580.79

            Advertising                             $64.17

            Service Supplies                      $ 8.95

            Music                                      $100.00

            Visiting Clergy                        $351.00

            Visiting Clergy Lodging         $ 56.67

Net Ordinary Income for May = $1706.21

Total Assets as of May 31, 2008 = $20,627.53 

Contributions are currently being received for an Anne Trogdon Memorial Fund and are being maintained in a savings account at this time.

Forms are available for expenses reimbursements and require invoice copy; forms for in-kind donations will be made available to enable treasurer to maintain accurate record of costs involved in ongoing operations.

It was agreed that Stacy Rawl and Al Trogdon would add a third member to the church finance committee. They will report at next Vestry meeting.

Junior Warden’s Report – Al Trogdon

Current usage of Honey Creek Commission Chapel for Sunday Services is ongoing. Mr. Trogdon will investigate need for improved cleaning and trash disposal services.

Lee Watkins will mark and label personal tables to loan to church for use in Sunday services.

Senior Warden’s Report – Barbara Mathis

  1. Thank you to St. John’s and St. Mark’s in Albany for donated Year A,RCL Bulletin Inserts for June to August. Rev. Ann Heinemann, Interim Rector, made the donation. Inserts for Our Savior at Honey Creek have again been ordered on a quarterly basis.

  2. Diocese of Georgia Visitation Schedule for 2009 has been released. Assisting Bishop Michel is scheduled to be at Our Savior of Honey Creek Church on March 11, 2009. Mrs. Mathis will confirm with Diocese offices and schedule a Sunday AM visit if possible.

  3. Visiting clergy have been scheduled throughout summer and list of individuals is being distributed to congregation  through a church newsletter beginning June 15th.

  4. Membership and attendance charts show church attendance down slightly for the quarter and membership numbers stagnant. Efforts for an all-out push for new members and increased attendance will begin in August. Efforts will include direct mail solicitation with post cards to newcomers in the area beginning in mid-August. “Ten Common Factors in Church Growth” form Diocese resources was distributed to Vestry for review.

Old Business

  • Ms.Rawl will continue sending thank you notes and payments to visiting clergy on behalf of the church.
  • It was approved to hire Ms. Katherine Adams as the full-time pianist for Our Savior at Honey Creek at $100 per month plus a mileage stipend.
  • It was approved that Wednesday Evening Prayer Services be discontinued for summer months with a renewed effort at diverse weekday activities in late August. Bonnie London will coordinate service planning.
  • Signage for the church is being updated by Stacy Rawl.
  • Review of a Membership Drive Plan was delayed until July meeting.

New Business

  • Rev. Logue explained the process and timelines for selection of new Bishop for the Diocese of Georgia. Nominations should be received by Diocese by November, 2008; the election of a new Bishop should be accomplished in August, 2009; the Consecration is anticipated for January 2010. Bishop Louttit would be acting as Bishop through that time period. Parrish missions will have a representative at the election convention. The key importance to the Vestry is the assurance that Bishop Louttit will be serving as the Bishop during the period we are trying to grow our mission church and seek a fulltime priest.
  • The average cost of visiting clergy will run Our Savior at Honey Creek about $1100 per month plus lodging fees. The Vestry discussed planning to seek a full-time or part-time priest using Diocese financial support for salary and benefits. It was agreed that the Senior Warden would contact St. Mark’s in Woodbine about their interests, if any, in sharing personnel; the Junior Warden would contact key retired clergy in the Glynn County area who might be interesting in serving on a part-time or full-time basis. Both will report to the Vestry at the July meeting.
  • It was approved to begin a mailing/hand out newsletter of church news in June to keep parishioners and visitors informed about church activities and to emphasize an informal educational process about the Episcopal Church and its traditions.
  • The Vestry discussed use of summer weight vestments for church services given the air conditioner limitations at Our Savior at Honey Creek, and possibilities for expanding number of licensed lay ministers for use as Chalice Bearers.
